CaptrFit is operated by CaptureFit B.V. (KvK 99948060; "we," "our," or "us"), the controller responsible for the personal data described in this policy. We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and services.

2. Information We Collect

Personal Information

We may collect personal information that you provide directly to us, including:

  • Name and contact information (email address, phone number)
  • Account credentials (username and password)
  • Payment information (processed securely through Mollie)
  • Membership preferences and fitness goals
  • Communication preferences
  • Subscription management data (cancellation requests, reasons for cancellation, subscription status)
  • Booking and attendance history

Automatically Collected Information

When you visit our website, we automatically collect certain information:

  • Device information (IP address, browser type, operating system)
  • Usage data (pages visited, time spent, click patterns)
  • Cookies and similar tracking technologies

3. How We Use Your Information

We use the information we collect for the following purposes:

Cancellation Information

When you request to cancel your subscription, we may ask you to optionally provide a reason for cancellation. This information helps us improve our services and understand member needs better. Providing a cancellation reason is entirely voluntary and will not affect your ability to cancel your subscription or the timing of your cancellation. We will never share this information publicly or use it in any way that could identify you personally. Aggregated, anonymized cancellation data may be used for internal analytics to improve member satisfaction and retention.

Enquiries, Trial Checkouts and Campaign Data

When you apply for coaching, contact us or start a trial checkout, we keep a record of your enquiry and how it progresses (for example: contacted, appointment booked, attended, became a member). If you reached our website through one of our ads or a tagged link, we also store the campaign tags from that link (source, medium, campaign, content and keyword, and the campaign, ad set and ad identifiers) and the path of the first page you landed on, without the rest of the address. If you chose “Accept all” in our cookie banner, we also store the ad click identifier that Meta (fbclid) or Google (gclid) adds to the link; you can withdraw that choice at any time via “Cookie settings” at the bottom of every page. Section 7 explains how we keep these tags in your browser so they reach us when you get in touch.

We use this to follow up your enquiry and to measure which campaigns bring people to us. The legal basis is taking steps at your request before entering into a contract (Art. 6(1)(b) GDPR) and our legitimate interest in measuring our marketing (Art. 6(1)(f) GDPR); you can object at any time. We do not upload this data to advertising platforms. If you choose “Accept all”, the advertising tag of Meta on our website does receive the steps described in section 7, directly from your browser. If you do not complete a trial checkout, we only email you about it if you agreed to receive our emails. Ad click identifiers are deleted 90 days after your enquiry came in. Enquiries that did not lead to a membership are deleted 12 months after the last activity on them (a message, a submission or an update by us), and unfinished trial checkouts 6 months after the last activity.

4. Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information in the following circumstances:

  • Service Providers: With trusted third-party service providers who assist us in operating our website and services (e.g., Mollie for payments, Tedee for access control, Supabase for secure database hosting)
  • Legal Requirements: When required by law or to protect our rights and safety
  • Business Transfers: In connection with any merger, sale of company assets, or acquisition
  • With Your Consent: When you have given us explicit permission to share your information

5. Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. This includes:

  • SSL encryption for data transmission
  • Secure storage of personal information
  • Limited access to personal information on a need-to-know basis
  • Regular security assessments and updates

7. Cookies

We use essential cookies and browser storage to run the website (for example your sign-in session, your language and your cookie choice). We count visits with Plausible Analytics, a statistics service that uses no cookies and does not identify you; with “Accept all” it also records which steps you take on the site (for example starting a checkout). We also keep the campaign tags of the page you first landed on (see section 3) in your browser's session storage under “captrfit_first_touch”, so that when you get in touch a few pages later we still know which campaign brought you here. We remove anything that looks like an email address or phone number before keeping it, only our own website reads it, and it is deleted when you close the tab. If you choose “Accept all”, we also keep it, together with the ad click identifier, in your browser's local storage, where it counts for 30 days, so that a visit within that period is credited to the campaign that first brought you here; after that we ignore it and remove it on your next visit. If you choose “Essential only”, we keep it no longer than the tab is open and never with a click identifier. You can change your choice at any time via “Cookie settings” at the bottom of every page, delete it by clearing this website's data in your browser, and manage other cookies through your browser settings.

If you choose “Accept all”, we also load the Meta Pixel. This tag sets its own cookies and tells Meta which pages of our website you view (never your member account or our staff pages), and when you start a checkout, send us an application or enquiry, or complete a purchase, with the offer and, for a purchase, the amount. Meta also receives your IP address and browser details and, if you came through one of our ads on Meta, the ad click identifier, and uses this to measure and improve our ads. We never send Meta your name, email address, phone number or the answers in your coaching application. The legal basis is your consent (Art. 6(1)(a) GDPR). Meta decides how it uses this data and may process it outside the EU; its privacy policy explains how. The tag only loads after “Accept all”; choosing “Essential only” via “Cookie settings” stops it and removes its cookies from our website.

8. Children's Privacy

Our services are not intended for individuals under the age of 16. We do not knowingly collect personal information from children under 16. If you become aware that a child has provided us with personal information, please contact us.

9. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. We ensure appropriate safeguards are in place to protect your information in accordance with this Privacy Policy.

10. Updates to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
